The purpose of this position is to help increase client communication, manage client questions and concerns, assist sales team in order to help them sell more efficiently and help them achieve overall company sales goals. This position will serve as the main communication liaison between sales and production.
Client and internal communication:
- Be the first contact for current client concerns and questions and notify and update appropriate salesperson.
- Be the key liaison between sales and production to help communicate questions and needs between the two departments
Managing Client Questions and Concerns:
- Send out initial email after client’s sign their agreement and monitor order status until completion.
- Generate and update client schedulers and send them to clients
- Run Call Reports for clients and run weekly/monthly reports when requested
- Answer client calls for DNS list and support production
- Work with VP of Production on ring-to change requests in Convirza
- Work with clients and Sales to determine piece landing dates
- Client Scrub follow-up: after Production’s 2nd email if no response from client
- Billing/payment follow-up: after billing’s first email if no response from client
- Creative design follow-up: after designer’s first proof design if no response from client
- Reference the Running Zips list for Insurance clients (Operations Administrator maintains) and past orders for non-Insurance clients and answer client questions about this.
- Work with Operations Admin on Wait Lists for exclusive zips and provide updates to sales on openings and opportunities
- Manage client celebration gifts and “Thank you” gifts
Assisting Sales in order to help them save time and sell more
- Monitor client calls in Convirza to determine problems and opportunities
- Communicate quote requests from Sales and submit to production for quoting. Follow-up with production if not getting quotes back on time. Generate quotes for clients and send to sales to close.
- Generate agreements and send to clients-Follow-up on timely basis
- Communicate and manage count requests to production for Insurance and directly to list vendors for non-insurance and follow-up to ensure counts received. Then forward to Sales.
- Pull mapping reports for clients and pull counts directly in Consumer database
- Provide background research for prospective clients when needed to assist sales.
- Monitor and pull Call reports when needed and work with sales to determine opportunities and what to send to clients
- Become in-house Zoho expert and complete tasks that includesome text
- Contact record generation and updating
- Updating existing contact records upon status change
- Other Various Zoho tasks
- Miscellaneous tasks/support for major clients (ex: Schein – managing Call Center relationship, add names to DNS List, Rep List revisions, etc.)
- Keep track of all upcoming renewals for non-insurance and work with Operations Coordinator to administer renewals for Insurance
- Attend client calls/meetings; assist with call prep
- Help with writing client thank you notes for Sales follow-ups.
- Work with new sales people when they come on-board.
- Perform various tasks and work with team in order to identify sales opportunities and help sales with various tasks to help them save time and/or sell more
Marketing:
- Assist marketing team Website lead management – pre-screen some leads with web research; research client and business verticals when needed
- Craft specialized emails to help generate new leads
- Research old accounts and help generate new opportunities for sales
- Work with Sales to help Regen old leads-researching old leads and generating more
- Assist with Social Media strategy and execution
- Help generate lead lists and formulate marketing campaigns
- Assist with Marketing Tasks and become part of the marketing team
Selling Support:
- Keeping track of print quotes with VP of Operations
- Monitor client base for upsell opportunities
- Manage small mailing jobs when appropriate
Reports to:
- President but works directly for Sales team.
Skills needed:
- Excellent communicator.
- Be able to handle multiple personalities effectively.
- Supremely organized (be very systematic)
- Know Zoho or have a high knowledge of similar CRM
- Knowledge of direct mail process a plus
- Strong working knowledge of Microsoft office
